Transitioning from QuickBooks Desktop to QuickBooks Online

Customers who have not upgraded the QuickBooks Desktop 2021 by May 31, 2024 will lose access to live technical support. They will also experience issues with any other Intuit services that can be integrated with QuickBooks Desktop. This includes QuickBooks Desktop Payroll, QuickBooks Desktop Payments, and online bank feeds. Discontinued versions won’t receive the latest critical security patches and updates.

This discontinuation means that if you remain on this version you’ll not be able to receive critical security updates to protect your data starting June 1, 2024.

Considering the shift from QuickBooks Desktop to QuickBooks Online? There will be a few differences to adjust to.

 Understanding What’s Different

In QuickBooks Online, you’ll notice a few changes in the language used:

What’s Moving, and What’s Staying ?

When it comes to features, some will move to QuickBooks Online while others will not.

Moving To QuickBooks Online:

  • Attachments/Document Center Docs: Attachments aren’t part of a QuickBooks company file and aren’t backed up with it. You’ll need to manually attach your documents in QuickBooks Online after your data is moved.

  • Budgets: Only Profit and Loss budget types will move to QuickBooks Online Plus or Advanced. Data moves, but budgets aren’t recreated in QuickBooks Online due to mapping differences.

  • Inventory: Inventory is only available in QuickBooks Online Plus and Advanced. Inventory is imported using the First-In, First-Out method (FIFO). QuickBooks Online will make the proper adjustments to recalculate inventory based on the FIFO start date.

  • Multi-Currency: Multi-Currency is only available in QuickBooks Online Plus and Advanced. Multi-currency preferences will move to QuickBooks Online. Transactions with three different currency types won’t move to QuickBooks Online.

  • Online Banking: Banking rules are moved for both Express and Advanced mode. Auto-recognized rules are moved for both Express and Advanced Mode. Bank Feeds setup doesn’t move to QuickBooks Online.

  • Payroll: Your payroll data moves over, but there are specific steps to follow to ensure a smooth transition. Check out our detailed guide for more information.

Doesn’t Move To QuickBooks Online:

  • Price Levels

  • Sales Tax: Sales tax won’t copy for all transactions. Some taxes will be copied as journal entries.

  • Write Letters

  • Mileage Tracking: You’ll need to manually add previous mileage into QuickBooks Online.
